Numbered grid of fifteen business process icons with three highlighted as places to start automating

Business automation software is only useful once you know what to automate. Most companies have the same fifteen candidates hiding in plain sight: the processes where information is retyped, approvals wait in inboxes, and follow-ups depend on someone's memory. This is a scannable field guide to those fifteen — for each, what triggers it, what the software does, where a person stays in control, what to measure and where in WaselTech it lives.

If you want the theory first, read our guide to business process automation. If you want to pick a starting point, scroll to the summary table and the priority guide below.

How to use this list

  1. Circle the processes that hurt today — those with delays, errors or complaints.
  2. Score each by frequency and effort (how often, how long). See the estimator in our guide to AI and repetitive tasks.
  3. Pick one from the 'Easy' column that is close to revenue or customers (1–4 or 13–14 are common first choices).
  4. Record a baseline, automate it, review after four to six weeks.
  5. Add the next process that connects to it — the connections are where the biggest gains sit.

1. Lead capture

Problem: enquiries arrive by website form, WhatsApp, calls and social messages, and some never reach a system. Automation: every enquiry is recorded with its source, acknowledged immediately and assigned by rule. Human role: qualify high-value leads. Measure: time to first response; share of enquiries with an owner. In WaselTech: Marketing & Growth (lead management) and WhatsApp AI.

2. Customer follow-up

Problem: quotations and enquiries go quiet because nobody remembers to chase. Automation: reminders and multi-step sequences that stop as soon as the customer replies. Human role: the conversation and any negotiation. Measure: share of open quotations with a scheduled next action. In WaselTech: email sequences and reminders; see automating sales follow-ups.

3. Quotations

Problem: each quotation is assembled from an old file. Automation: drafts built from a rate library and requirements, with VAT and totals calculated automatically and standard terms applied. Human role: pricing decisions and terms. Measure: time from enquiry to sent quotation; revision count. In WaselTech: Quotations, including AI drafting and revision tracking.

4. Approvals

Problem: approvals wait in someone's inbox. Automation: documents above a threshold route to the right approver with context; decisions are recorded; delegates cover absences. Human role: approve or return. Measure: average approval time; items waiting more than N days. In WaselTech: quotation and proposal approval workflows, leave and expense approvals.

5. Invoicing

Problem: invoices are retyped from quotations and forgotten at milestones. Automation: invoices generated from accepted quotations, milestones or recurring schedules. In Saudi Arabia, confirm which phase requirements of ZATCA's e-invoicing programme your system meets (generation from 4 December 2021, integration from 1 January 2023, in waves — ZATCA). Human role: exceptions and credit or debit notes. Measure: days from delivery to invoice. In WaselTech: Finance — invoices, credit and debit notes, recurring invoices.

6. Payments

Problem: chasing payments takes hours and often starts late. Automation: reminders before and after due dates, live lists of overdue invoices, help with matching and reconciliation. Human role: disputes and payment plans. Measure: value and age of overdue invoices. In WaselTech: customer payments, AR/AP and bank reconciliation in Finance.

7. HR requests

Problem: requests for letters, changes and documents arrive in chat. Automation: a structured request with routing to the right person and a record of the outcome. Human role: approvers; anything about an individual's employment. Measure: turnaround time. In WaselTech: HR management.

8. Leave requests

Problem: balances are calculated by hand and clashes are discovered late. Automation: the request checks the balance and policy, routes to the approver and updates the calendar. Configure leave types and rules according to your contracts and applicable labour regulations. Human role: approver. Measure: time to decision; balance errors. In WaselTech: leave and overtime requests, balances and approvals.

9. Recruitment

Problem: CVs pile up in email. Automation: a branded careers page, custom application forms, a candidate database, pipeline stages, interview scheduling, offers, and AI candidate summaries to speed screening. Human role: every hiring decision — use AI summaries as aids to review, not filters that hide people. Measure: time to hire; pipeline conversion. In WaselTech: Recruitment.

10. Project updates

Problem: project status is compiled by hand for every meeting. Automation: tasks, milestones, timesheets and costs live in one system, so status roll-ups and reports generate themselves and overdue items notify owners. Human role: commentary and decisions. Measure: hours spent on reporting; overdue tasks. In WaselTech: Project Management.

11. Notifications

Problem: people miss what matters or drown in alerts. Automation: rule-based messages for due dates and status changes, sent to the right person and their backup; AI can summarise them into a short daily digest. Human role: deciding what to do. Measure: items acted on within target time. In WaselTech: renewal reminders in Subscriptions & Licenses, SLA alerts in ticketing, approvals in each module.

12. Document management

Problem: contracts, licences and certificates live in personal folders, and expiries sneak up. Automation: documents attached to the record they belong to, with expiry alerts and version history. Human role: content and approval. Measure: documents found within a minute; expiries caught early. In WaselTech: documents attach to subscriptions, projects (including transmittals and submittals) and general-services applications. It is not a standalone document-management system for all company files.

13. Bookings

Problem: appointments are arranged by phone and message, with no-shows and double bookings. Automation: a branded online portal with real availability, confirmations, reminders, an optional approval step, a waiting list and customer rescheduling. Human role: exceptions. Measure: no-show rate; calls avoided. In WaselTech: Booking & Appointments.

14. Customer support

Problem: requests sit in a shared inbox. Automation: categorisation, assignment to queues, SLA timers with escalation, first answers from approved knowledge, and a knowledge base. Human role: resolution and sensitive cases. Measure: first-response and resolution time; SLA breaches. In WaselTech: Ticketing & Support and WhatsApp AI; see AI customer service without losing the human touch.

15. Reporting

Problem: reports are compiled from several files at month-end. Automation: reports generated from live data on demand or on a schedule and exported as branded PDF or Excel in Arabic or English. Human role: interpretation. Measure: time to produce the monthly pack. In WaselTech: Reporting across HR, recruitment, projects, finance, booking and ticketing, plus the AI assistant for questions.

Before you switch anything on

  • Each process has a named owner and a one-page description of the steps.
  • We know what a mistake would cost and where a person approves.
  • Customer and price data are clean enough to rely on.
  • Arabic and English documents and notifications have been tested where needed.
  • Personal data is handled under the Personal Data Protection Law (enforceable since 14 September 2024 — overview).
  • We recorded a baseline so we can show what changed.

And when you are choosing software, use the same test for every product: does it automate your version of these fifteen, in Arabic if you need it, with a person in control where it counts?

Where WaselTech fits — and where it does not

WaselTech covers most of the fifteen within one connected platform, enabled module by module through your plan (pricing), so information flows from lead to quotation to project to invoice to report without re-entry. It is not an integration hub for unrelated systems, a robotic-process-automation tool, a full document-management system or an inventory ERP. See the platform overview.

Frequently Asked Questions

Which business processes can be automated?

Common candidates are lead capture, customer follow-up, quotations, approvals, invoicing, payments, HR requests, leave requests, recruitment, project updates, notifications, document management, bookings, customer support and reporting.

Which process should I automate first?

Start with the process that hurts most and is close to revenue or customers — often lead capture, quotations, approvals or customer support — record a baseline, automate it, and review after four to six weeks.

Does automation mean removing people from the process?

No. Each process keeps a human checkpoint where it matters: qualifying big deals, approving prices, handling disputes and complaints, hiring decisions and interpreting reports.

What should I look for in business automation software?

Whether it automates your version of these processes, works properly in Arabic and English, keeps a person in control of consequential steps, enforces roles and permissions, and connects lead to quotation to invoice without re-entry.

Can one platform automate all fifteen?

A connected platform can cover most of them, such as WaselTech, but not every need: integration between unrelated systems, robotic process automation, full document management and inventory ERP are separate categories.
